Privacy information for personal data collected for registration for Finocchi di Neve 2027, pursuant to Article 13 of Regulation (EU) 2016/679.

Data controller and contacts

The data controller for registration management is KC Travel S.r.l., Via G. B. Morgagni 5, 40122 Bologna, VAT number IT04209150376. You can write to info@kctravel.it or, for event-related enquiries, to info@finocchidineve.it.

Data and purposes

We collect personal, tax and contact details, identity document details, accommodation, transport and insurance choices, dietary information and any requirements you provide, emergency contact details, photo and video preferences, and information about requests, amounts and payment verification. We use these details to manage registration and the contract, organise accommodation and transport, communicate with you, verify the bank transfer and fulfil administrative and legal obligations.

The legal basis for the request and contract is Article 6(1)(b) GDPR; for legal obligations it is Article 6(1)(c). The necessary details indicated in the form are required to manage the booking: without them we cannot complete it.

Allergies and intolerances

Allergy and intolerance information may concern health. If you provide it, we process it with your explicit consent, given separately in the form, to organise catering and share it only with providers who need it. You may select “No” and enter “NONE” if you have no requirements to communicate. You may withdraw consent by writing to us; in that case, we may be unable to accommodate the dietary requirement you communicated.

Photos and videos

Consent to promotional use of event photos and videos is optional and separate from registration. Selecting “No” does not prevent participation. You may withdraw consent for future uses by writing to us.

Recipients

Where necessary, data may be received by authorised KC Travel and event staff, hotels, transport operators, catering providers, hosting and email providers, administrative advisers, the insurer if you select insurance, and authorities where required by law. We share only the data each recipient needs for their work. Emergency contact details are used only when necessary; please inform the person you name.

Retention

We retain information for the time needed to manage the request and trip, fulfil contractual, administrative and tax obligations, and protect rights within the applicable periods. Allergy and emergency contact information is limited to the period needed for the event and its consequences, except where specific legal or rights-protection needs apply. Expiry of a request after five days does not necessarily mean immediate deletion of data needed for administration or evidence of communications.

Your rights

You may request access, rectification, erasure, restriction, portability where applicable, and object in the cases provided for by the GDPR. You may withdraw consent for the future. Write to info@kctravel.it or info@finocchidineve.it. You may lodge a complaint with the Italian Data Protection Authority (Garante per la protezione dei dati personali).

Automation

The system calculates availability and the five-day deadline; payment verification and participation confirmation are carried out by the agency. We do not use form data for profiling.
